SPORTS PHOTOGRAPHY POLICIES

Every frame has a story. At CMTZ Photo, my goal is to capture the action, emotion, and unforgettable moments that make sports special.


Thank you for supporting CMTZ Photo and trusting me to capture these moments. Please review the following policies before booking a session or purchasing photographs through an online gallery.

01. BOOKING POLICY

  • All photography sessions and game coverage must be requested in advance.
  • Bookings are subject to availability and are confirmed once CMTZ Photo has approved the request and any required booking payment has been received.
  • Bookings are handled on a first-come, first-served basis.
  • Clients should provide the event date, location, sport, and whether they are requesting individual-athlete coverage, team coverage, or broader game coverage.
  • Package prices include only the services and deliverables listed in the selected package. Additional coverage or special requests may require a separate quote.
  • Clients are responsible for confirming that photography is permitted at their chosen venue or event.

02. CANCELLATION & RESCHEDULING

  • Clients should provide at least 48 hours' notice when requesting to reschedule a booking.
  • Rescheduling is subject to availability.
  • If a booking is rescheduled with at least 48 hours' notice, any eligible booking payment may be transferred to a new date within 30 days of the original booking, subject to availability and the agreed booking terms.
  • If a client cancels or requests a change with less than 48 hours' notice, CMTZ Photo will review the circumstances and communicate the available options.
  • If a game is canceled or postponed by the team, league, or venue, the booking may be transferred to the rescheduled event at no additional photography fee, subject to availability.
  • Refunds and booking-payment transfers will be handled according to the terms agreed upon at booking and applicable law.

03. WEATHER POLICY

  • Outdoor games and sessions may be affected by weather conditions.
  • If a game is delayed, CMTZ Photo will make reasonable efforts to accommodate the delay, schedule permitting.
  • If conditions become unsafe, coverage may be paused, ended early, or rescheduled.
  • The photographer may stop or postpone coverage when necessary for safety or when required by venue staff, coaches, officials, or event organizers.
  • If weather prevents the agreed coverage from taking place, CMTZ Photo will communicate with the client about rescheduling or other appropriate arrangements.

04. PAYMENT POLICY

  • Any required booking payment, remaining balance, and due dates will be communicated before a booking is confirmed.
  • Accepted payment methods will be provided during booking.
  • Full payment for commissioned photography must be received before the final edited gallery is released for download.
  • Additional charges, including approved travel fees or extra coverage, will be communicated before the client commits to them.
  • Digital gallery purchases must be paid through the available checkout options before purchased files are delivered.

05. TRAVEL POLICY

  • No travel fee applies to bookings requiring 55 miles or less of total round-trip travel from Morgan Hill, California.
  • For trips exceeding 55 miles round trip, a travel fee of $0.50 per additional mile beyond the included 55 miles will apply.
  • Travel distance will be calculated using the agreed driving route to and from the event location.
  • Any applicable travel fees will be communicated before the booking is confirmed.

06. PHOTO DELIVERY POLICY

  • Standard turnaround time is 2–3 days after the game or session.
  • Tournament weekends, multiple-game bookings, or unusually large assignments may require additional editing time.
  • If a delay is expected, CMTZ Photo will communicate the updated timeframe.
  • Photographs will be delivered through an online gallery or another agreed-upon digital delivery method.
  • Clients are responsible for downloading and safely storing their purchased files.
  • Any gallery expiration or availability limits will be communicated where applicable.

07. EDITING POLICY

  • Every delivered image is selected and edited in the CMTZ Photo editing style.
  • Only photographs that meet the photographer's quality standards will be delivered.
  • RAW files and unedited photographs are not included.
  • Standard editing may include adjustments to exposure, color, contrast, and overall image appearance.
  • Extensive retouching or edits beyond standard editing may require an additional fee, which will be discussed before work begins.
  • Final creative and editing decisions remain with CMTZ Photo.

08. REFUND POLICY

  • Due to the custom nature of photography services, payments are generally non-refundable after the agreed coverage has taken place, except where a refund or other remedy is required by applicable law.
  • Changes in personal preference regarding the photographs or editing style do not automatically qualify for a refund.
  • If a technical issue prevents the delivery of purchased photographs, CMTZ Photo will work with the client to resolve the issue.
  • A replacement download, reshoot, or refund may be offered when appropriate.
  • If CMTZ Photo cannot fulfill a confirmed booking, the client will be informed and offered an appropriate resolution, such as rescheduling or a refund where applicable.
  • Digital gallery purchases are generally final once delivered or downloaded, subject to applicable law and resolution of verified delivery or technical issues.

09. IMAGE USAGE & COPYRIGHT

  • CMTZ Photo retains copyright in photographs it creates, subject to applicable law and any written agreement stating otherwise.
  • Purchasing a photograph does not transfer copyright ownership.
  • Purchased photographs are licensed for personal use, including personal social media sharing and personal printing.
  • Commercial use, resale, advertising, or distribution beyond the personal-use license requires prior written permission from CMTZ Photo.
  • Clients may not remove watermarks from preview images or misrepresent CMTZ Photo's work as their own.
  • Purchased final downloads are provided according to the file size and type selected at checkout.

10. SOCIAL MEDIA & PHOTOGRAPHER CREDIT

  • Clients are encouraged to credit or tag @CMTZ Photo when sharing purchased photographs on social media.
  • Photographer credit is appreciated because it helps others discover and support the business.
  • Credit is not required for personal printing.
  • Purchasing a photograph does not transfer copyright ownership or grant commercial-use rights.
  • Commercial use or other uses beyond the personal-use license require prior written permission from CMTZ Photo.

11. PRIVACY & PORTFOLIO USE

  • CMTZ Photo respects the privacy of athletes, families, and clients.
  • Photographs may be used on the CMTZ Photo website, social media, portfolio, or promotional materials only when the necessary permissions have been obtained.
  • For identifiable photographs of minors used for promotional purposes, appropriate parent or guardian permission will be obtained.
  • Clients who do not want their commissioned photographs used publicly should communicate this before the session so their preference can be documented.
  • CMTZ Photo will follow applicable school, team, league, venue, and event photography rules.

12. SAFETY POLICY

  • CMTZ Photo will not enter restricted areas or knowingly put athletes, clients, or others at risk.
  • Coverage may be paused or stopped if conditions become unsafe.
  • Clients, athletes, and spectators are expected to respect venue rules and the instructions of coaches, officials, venue staff, and event organizers.
  • Access to restricted areas, sidelines, or other event locations is never guaranteed and remains subject to applicable rules and permissions.

13. SPORTS PHOTOGRAPHY POLICY

  • Sports are unpredictable, and specific plays, athletes, expressions, or moments cannot be guaranteed.
  • CMTZ Photo will make reasonable efforts to capture the requested athlete or team throughout the agreed coverage period.
  • Playing time, injuries, coaching decisions, athlete participation, field position, lighting, weather, and access restrictions may affect the photographs captured.
  • Package photo counts are estimates and do not guarantee specific images or moments.
  • Only photographs that meet CMTZ Photo's quality standards will be delivered.

14. PERMISSION TO PHOTOGRAPH

  • Clients booking a session confirm that they have the necessary permission to arrange photography of the participating athlete or team.
  • For identifiable photographs of minors used for promotional purposes, appropriate parent or guardian permission will be obtained.
  • Clients should notify CMTZ Photo before the event of any applicable privacy restrictions or requests concerning public use of commissioned photographs.
  • Photography remains subject to school, league, team, venue, and event policies. Booking CMTZ Photo does not override those requirements.

15. GALLERY SALES & DIGITAL DOWNLOADS

  • Photographs from games and events already photographed may be offered through online galleries for individual or bundled digital purchase.
  • Available file sizes, prices, and package options will be displayed in the gallery store before checkout.
  • Purchasing photographs from an existing gallery is separate from hiring CMTZ Photo for commissioned coverage.
  • Customers should check their selected images and download size before completing checkout.
  • If a purchased file cannot be accessed or downloaded, please contact CMTZ Photo for assistance.
